The Breakdown:

The Finance Manager is responsible for all finance functions at Chill,. This role serves as the primary liaison between Chill and our new outsourced accounting firm: this role is responsible for managing this relationship and relaying financial data to Chill leadership in a timely and clear manner. This role is Chill’s sole in-house finance staff person and reports to the VP, Global Operations, providing oversight and management of all financial functions at Chill. Paramount to this position is the ability to work with a high degree of independence, integrity and juggle various projects at once.

 

Compensation and Benefits

We aim for our compensation and benefits package to be competitive, equitable and transparent.  The salary range for this position is $54,000 to $59,000 annually, based on direct nonprofit financial experience. This position is year-round, full time, hourly/non-exempt, 40 hours/week, with benefits and all applicants must reside and work from the contiguous United States:

What You Get to Do:

 

Accounting and Budget Support:

  • Fully manage the relationship with outsourced accounting firm, work in partnership with firm in sharing of information and systems, ensure all data shared between the firm and Chill is clear and timely.
  • Oversee the firm’s management of accounts, ledgers, journal entries, reconciliation, financial software and reporting systems (including QuickBooks and Bill.com); ensure policies and procedures are in compliance with appropriate standards and regulatory requirements.
  • Manage all staff reimbursement and credit card expenses for both the US and Canada (two different systems); manage all bank relationships in both the US and Canada and ensure cash flow is supportive of Chill operations.
  • Process invoices from staff and relay to accounting firm.
  • Relay approved Chill budgets to accounting firm; analyze activities and data to confirm department spending adheres to budgets based on monthly statements from accounting firm.
  • Consistently relay financial reports to Chill leadership in an accurate and timely manner; clearly communicate monthly, quarterly, and annual financial statements; monitor progress, changes, and report financial status to Chill leadership.
  • Liaise with Burton Finance to ensure accurate monthly salary payments; provide additional salary support as required.
  • Support the preparation of the annual budget and multi-year budgets aligned with strategic goals.
  • Coordinate global budgets from Chill sites outside North America and oversee wiring of funds to global sites.

 

Audit Lead:

  • In collaboration with outsourced accounting firm, lead Chill’s participation in the annual audit process, liaising with external auditors and accountants to ensure compliance, as well as timely preparation and filing of the annual financial statements and tax from 990.
  • Conduct annual T3010 filing in Canada.

 

 

Additional responsibilities:

  • Ensure Chill teams are effectively and efficiently using Chill’s approved financial policies and systems in the US & Canada.
  • Manage relationship with outsourced firm overseeing charitable registrations: Secretary of State filings, charitable filings, federal filings, and state registrations.
  • Participate in leadership meetings to plan and discuss direction and to present financial data and attend committee and board meetings as requested.
  • Oversee process for identifying and evaluating opportunities for improved financial operations, recordkeeping, and reporting.
  • Contribute to Chill’s diversity, equity, and inclusion goals through individual and collaborative actions, ideas, and decision-making; work with VP of Operation to establish individual DEI goal(s).
  • Perform all other finance duties as assigned to support Chill.

What You'll Bring to the Team: 

  • Must have at least 3+ years of financial support or financial management experience; relevant education, training, or experience in non-profit finance including interacting with databases and utilization of Microsoft Office products with a focus on Microsoft Excel
  • Proven and ongoing usage of QuickBooks or similar accounting systems; proven skill with learning and fully managing financial systems, must possess an understanding of accounting and bookkeeping practices and have experience in the interpretation of nonprofit financial statements.
  • Experience working highly independently, managing time efficiently, setting goals, and managing own schedules; personal qualities of integrity, credibility, and passion for the mission of Chill.
  • Adaptable and effective working with various stakeholders in different time zones and over Zoom; Chill is a dynamic organization and flexibility is critical to success in this role.

Additional requirements:

  • Work in a remote setting with 95% of time when not traveling in front of a computer.
  • Must have ability to work remotely from the contiguous United States unless within commutable distance to Burlington, Vermont (in which case, an in-person office may be provided at Burton/Chill headquarters and a hybrid work schedule may be established).
  • Proof of full Covid-19 vaccination unless a federally approved exemption is provided.
  • Travel:
    • This position requires travel 1 x per year to Chill’s annual 2-to-3-day summit in the United States (flight or personal car depending on location)
    • If within commutable distance, a schedule for occasional attendance at Chill programs and development events will be established.
